Thank you for your registration! By registering online, you declare that you accept the general terms and conditions of contract and travel of AILS language stays as stated below:
By registering, you agree to AILS Language Stays' general terms and conditions. To register, simply fill out the registration form and return it to us with a deposit of CHF 700.- for Switzerland or EUR 500.- for those who wish to pay in euros. We recommend that you register as early as possible, especially for stays during the summer. Registration will only be effective upon receipt of the written form via the registration form or through our websites.
Upon receipt of your registration and deposit, you will receive a confirmation within 10 days. In the event that the program is full, AILS undertakes to refund the deposit in full. Approximately 14 weeks before your departure, you will receive your invoice, which is payable within 8 days (upon receipt for late registrations). You will receive your payment confirmation and accommodation address usually two weeks before your departure. Full payment must be made before your departure.
In case of non-payment of the deposit or invoice, your reservation may be canceled by AILS, while applying the cancellation conditions mentioned in point 4.
Any changes to your reservation must be made in writing and will incur a minimum administration fee of CHF 50.- / EUR 40.- and a maximum of CHF 200.- / EUR 160.-. If the change includes a flight modification, additional fees of at least CHF 60.- / EUR 50.- will be added to your invoice. Please note that any changes to flights after ticket issuance are subject to the airline's terms and conditions. A change of destination, school, or a reduction in the duration of the course or stay is considered a cancellation and not a reservation change.
4.a - In case of cancellation of your language stay, please inform us as soon as possible by registered mail. The deposit of CHF 700.- / EUR 500.- will be charged per person. If the cancellation includes the reservation of a transport ticket, it is non-refundable. The amount of guarantees and insurances contracted with AILS remains due.
4.b - If you need to cancel or change the reservation of an AILS service less than 45 days before departure, the following fees will be charged in addition to those mentioned in point 3. The date considered for the calculation is the date of receipt of the letter, not the date of sending. In the event that the cancellation of the stay occurs after the date of postponement of the start of the program, the following calculation will be applied only on the date scheduled at the time of the initial registration. The postponed start date is not included in this calculation.
45-20 days before departure: 30% of the invoice amount
19-8 days before departure: 60% of the invoice amount
7-5 days before departure: 80% of the invoice amount
-5 days before departure: 100% of the invoice amount
Once the program has started, no refund will be made by AILS. If you need to cancel or change the reservation of services provided by other organizers (airlines, hotels, car rentals) through AILS, you must contact the respective organizer directly. Their own cancellation conditions will apply.
For all our programs, optional AILS cancellation insurance can be taken out. This insurance of CHF 80.- / EUR 60.- personally covers you in case of illness or accident before your departure against cancellation fees (point 4.b of our general terms and conditions) imposed in the event of cancellation (medical certificate required). Please note that this insurance does not cover the fees mentioned in point 3 as well as transportation and visa fees.
AILS offers you free exam cancellation insurance. This insurance must be requested at the time of registration and allows you to cancel your stay without charge in the event of failure in a recognized school examination that prevents the stay from being carried out. It is valid up to 10 days before departure, and an official document proving the failure in the examination must be provided within 48 hours after the results to justify the cancellation. This insurance does not cover school registration fees or the cancellation of accommodation and transportation (plane, train, etc.).
AILS reserves the right to modify the prices indicated in the catalog in case of changes such as transportation price increases, introduction or increase of taxes, such as airport taxes or VAT, and price changes by schools. In the event that the increase exceeds 10% of the package confirmed by AILS, you have the right to terminate your contract with AILS free of charge in writing within 10 days following our confirmation. Invoices are issued in Swiss Francs / Euros, and the exchange rate applied is the one announced by xe.com on the day of invoicing. Due to unpredictable fluctuations combined with an 8-day payment period, AILS has a safety margin of 4 to 6% compared to the interbank exchange rate announced by xe.com. In the event of an exchange rate increase between the day of invoicing and the effective receipt of payment into AILS' accounts, exceeding the fixed safety margin of 6% or more, AILS reserves the right to claim this difference. It is also possible, upon request, to be invoiced in local currency for a cost of CHF 70.- / EUR 50.- (bank transfers only / cash payments are not accepted), with bank charges remaining the responsibility of the client.
The apartments, rooms, and host families are chosen and assigned by the schools. If you have specific requests, the school will try to take them into consideration but cannot guarantee them. You will receive the address of your accommodation two weeks before your departure. Some of the schools presented in this catalog require students to provide a deposit for residence or campus accommodations. This deposit is to be paid before departure or directly on-site and is not included. It will be refunded upon the student's departure provided that no damage has been attributed to the participant.
Unless otherwise indicated, some excursions, exam fees, educational materials, and visa fees are not included and must be paid directly on-site or to the appropriate entity. Local or national holidays do not entitle you to any refund or compensation unless otherwise specified for private lessons, which will be compensated.
Transportation tickets are not included and remain the responsibility of the client.
AILS is responsible as a language stay agency for the authenticity of this catalog. Within the regular scope of a careful merchant, the accuracy of its content, the conscientious choice of organizers/professionals, the professional execution of the language stay, as well as the timely transmission of travel documents to the point of sale/client, are all included in this responsibility. AILS cannot be held responsible for the inability to provide initially planned services due to failure of its service providers, conflicts, serious disturbances beyond its control, epidemics, or pandemics. AILS will not be liable for losses or damages suffered by individuals or property, regardless of the cause. AILS will not be liable in the event of an accident at the place of the language stay. Only the liability of the service provider (school, airline, etc.) can be invoked. AILS reserves the right to modify the content of its catalog as well as the selected service providers without notice. AILS reserves the right to retain and/or use testimonials and photographs taken within its partner schools or as part of a language stay for promotional purposes. Personal information contained in the application file remains completely confidential, in accordance with applicable law.
All necessary travel arrangements (vaccination requirements, currency, customs, insurance, passport, visa) and their implementation are the responsibility of the client. Often, conditions are not the same depending on the nationality of the student. Please inquire at the embassy or consulate nearest to your residence. If entry permission to a country is denied, the reservation is canceled, applying the conditions described in point 4.
AILS reserves the right to change a reservation in the event of serious events or unforeseen major circumstances (wars, strikes, riots, natural disasters, epidemics, pandemics).
AILS reserves the right to refuse a registration or send a participant back if their behavior disrupts the proper functioning of the program, violates the rules of the institution, or violates the law of the host country. All related expenses (return travel, fines, etc.) are the responsibility of the participant or their parents. The participant and their parents are also responsible for any damages or losses incurred during their stay. AILS reserves the right to refuse a registration or immediately send back any participant who has a medical and/or psychological condition not disclosed in writing at the time of registration and that requires specific follow-up on-site.
If, within 30 days of payment of your invoice, you find exactly the same program, including exactly the same services for the same dates (same school, same city, same course, same accommodation, and same duration) offered by another language stay agency located in Switzerland, Belgium, or France, and at a rate published in an official catalog of that agency (excluding all promotional offers or personalized quotes) and in the currency of the respective country, lower than what you paid at AILS, we undertake to refund the difference in currencies using the exchange rate on the date of invoicing. This guarantee only applies to language programs offered in this brochure. It excludes all other services such as airline tickets, insurance, hotels, etc.
At your request, our advisors will offer you the range of AVI travel insurance. Participants are not automatically insured by AILS or the school for illness or accidents. You must verify with your health insurance company if you are sufficiently covered abroad and be able to provide proof of adequate medical coverage for the entire duration of your stay, especially for stays outside Europe. In the event of a medical emergency during the stay, any authorized hospital or doctor will provide initial treatment and transfer the participant's medical records for insurance purposes or diagnosis for medical follow-up, at the participant's expense upon their return. AILS or its representatives and the on-site school are not responsible for decisions made on behalf of the participant by a medical institution or a doctor approved by the organization/school/training center on-site.
Any complaints prior to the execution of the contract must be submitted as soon as possible, by registered mail with acknowledgment of receipt, to AILS. During the stay, any complaints that arise during the execution of the contract must be submitted promptly on-site, appropriately and with evidence, so that a solution can be found. For this purpose, the participant should first contact a representative of the organization/school/training center and then AILS. After the trip: complaints that could not be resolved satisfactorily on-site must be submitted no later than one month after the end of the trip, by registered mail with acknowledgment of receipt, to AILS. The participant must provide evidence that they have taken the necessary steps on-site to resolve the problem, including filing a complaint with the organization/school/training center. In the event of a complaint, the competent court is in Geneva.
AILS is a limited company with a share capital of CHF 100,000.-, registered with the Geneva Commercial Register.
