General Terms and Conditions of Sale

1. REGISTRATION

By registering your child, you accept AILS' general terms and conditions. To complete the registration, simply fill out the registration form provided and return it to us, along with a deposit of CHF 700.- for Switzerland or EUR 500.- for those wishing to pay in euros. We recommend registering as early as possible, especially for stays during the summer. The registration will be considered effective once we receive it in writing via the registration form or through our websites.

2. CONFIRMATION / INVOICE

After receiving your registration and deposit, you will receive a confirmation within 10 days. In the event that the program is fully booked, AILS commits to refunding the deposit in full. Approximately 10 weeks before your departure, you will receive an invoice, which is payable within 8 days (upon receipt for late registrations). The registration fee of CHF 100 for Switzerland and 100 EUR for France is not included in the published school rates. You will generally receive the final information package about two weeks before your departure. Full payment must be made before the participant's departure. In case of non-payment of the deposit or invoice, AILS reserves the right to cancel the reservation while applying the cancellation conditions stated in point 4.

3. CHANGE OF RESERVATION

Any changes to your reservation must be communicated to us in writing and will incur an administration fee of min. CHF 50.- / EUR 50.- and a maximum of CHF 200.- / EUR 200.-. If the change involves a flight modification (for Malta only), additional fees of min. CHF 60.- / EUR 60.- will be added to your invoice. Please note that any flight changes made after ticket issuance are subject to the airline's conditions. A change of destination, school, or a reduction in the duration of the stay is considered a cancellation rather than a reservation change.

4. CANCELLATION

a - In the event of cancellation of the language stay, please notify us as soon as possible by registered mail. The deposit of CHF 700.- / EUR 500.- is charged per person. If the cancellation includes a reservation for transportation, it is non-refundable. The amount of any guarantees and insurances contracted with AILS remains due.
b - If you need to cancel or modify a reservation less than 45 days before departure, the following fees will be charged in addition to those mentioned in point 3. The date considered for the calculation below is the date of receipt of the letter, not the date of sending. If the cancellation of the stay occurs after having already postponed the start date of the program, the following calculation will be applied only to the originally scheduled date at the time of the initial registration. The postponed start date is not included in this calculation.
• 45-20 days before departure: 30% of the invoice amount
• 19-8 days before departure: 60% of the invoice amount
• 7-5 days before departure: 80% of the invoice amount
• Less than 5 days before departure: 100% of the invoice amount
Once the stay has commenced, no refund will be issued. If you need to cancel or modify a reservation for services provided by other organizers through AILS, you will need to directly contact the respective organizer, as their own cancellation conditions will apply.

5. PRICE MODIFICATION

AILS reserves the right to modify the prices indicated on its website in the event of changes such as transportation cost increases, introduction or increase of taxes, such as airport taxes or VAT, and price changes by the schools. Invoices are issued in Swiss Francs / Euros, and the exchange rate applied is the one announced by xe.com on the day of invoice issuance. Due to unpredictable fluctuations combined with an 8-day payment period, AILS applies a safety margin ranging from 4 to 6% compared to the interbank exchange rate announced by xe.com. In the event of an exchange rate increase between the day of invoice issuance and the actual receipt of payment in AILS' accounts, exceeding the established safety margin of 6% or more, AILS reserves the right to claim this difference. Upon request, it is also possible to be billed in local currencies for a cost of CHF 70.- / EUR 70.- (bank transfers only / banknotes are not accepted), with the bank fees remaining the responsibility of the client.

6. ACCOMMODATION

The children and teenagers programs have fixed start and end dates. In the case of early arrival or late departure, additional nights and individual airport/train transfers will be charged. Rooms and host families are chosen and assigned by the schools. While the schools try to consider specific requests, they cannot guarantee them. Some schools require students to provide a security deposit for residence or campus accommodations. This deposit must be paid before departure or directly on-site and is not included. It will be refunded upon the student's departure, provided that no damage has been attributed to the participant.

7. TRAVEL

Transportation tickets are not included and remain the responsibility of the client. Under no circumstances can AILS be held responsible for any changes due to unforeseen external circumstances, delays due to strikes or carriers, etc. Any expenses incurred as a result of changes are the responsibility of the participant or their parents.

8. ORGANIZER'S LIABILITY

AILS is responsible as an agent for language stays for the authenticity of its information. Within the framework of careful business practices, the conscientious choice of organizers/professionals, professional execution of the language stay, and timely transmission of documents to the client are included in this same responsibility. AILS cannot be held responsible for the impossibility of providing initially planned services due to the failure of its service providers, conflicts, serious disturbances beyond its control, or epidemic or pandemic situations. AILS cannot be held liable for any losses or damages suffered by individuals or property, regardless of the cause. AILS cannot be held responsible in the event of an accident at the place of the stay. Only the liability of the service provider (school, airline, etc.) can be invoked. AILS reserves the right to modify the content of its materials and the selected service providers without notice. AILS reserves the right to retain and/or use testimonials and photographs taken within its partner schools or as part of a language stay for promotional purposes. Personal information contained in the application file remains completely confidential, in accordance with the law.

9. ENTRY REQUIREMENTS / TRAVEL FORMALITIES

All necessary travel arrangements (vaccination formalities, currency exchange, customs, insurance, passport, visa, permission to leave the country) and their execution are the responsibility of the client. Often, the conditions vary depending on the nationality of the student. Please inquire with the nearest embassy or consulate in your country of residence. If entry into a country is denied, the reservation is canceled according to the conditions described in point 4.

10. PROGRAM CHANGE BY AILS

AILS reserves the right to change a reservation in the event of serious events or major unforeseeable circumstances (wars, strikes, riots, natural disasters, epidemics, pandemics, failure of a service provider).

11. CANCELLATION OR INTERRUPTION OF PROGRAM BY AILS

AILS reserves the right to refuse a registration or send a participant back if their behavior hinders the proper functioning of the program, if they violate the rules of the establishment, or if they break the law of the host country. All associated expenses (return travel, fines, etc.) are the responsibility of the participant or their parents. The participant and their parents are also responsible for any damages or losses that occur during their stay. AILS reserves the right to refuse a registration or immediately send back any participant who has an undisclosed medical and/or psychological condition at the time of registration and requires specific on-site follow-up, applying the conditions described in point 4.

12. HEALTH AND TRAVEL INSURANCE

Upon request, our advisors will offer you a range of AVI travel insurance options (for residents in France only). Participants are not automatically insured by AILS or the school for illness or accidents, among other things. You must check with your health insurance provider to confirm if your child is covered abroad and be able to provide proof of sufficient medical coverage for the entire duration of the stay, especially for stays outside Europe. In the event of a medical emergency during the stay, any authorized hospital or physician will provide initial care and transmit the participant's medical records for insurance purposes or diagnostic purposes for future medical follow-up, at the participant's expense upon their return. AILS or its representatives and the on-site school cannot be held responsible for decisions made on behalf of the participant by a medical facility or a physician accredited by the organization/school/training center on-site.

13. COMPLAINTS

Any issues related to the subscribed program must be reported during the stay to allow for prompt intervention by AILS. Therefore, it is the participant's or their parents' responsibility to immediately inform the center's responsible parties or AILS of any incidents or misunderstandings that occur during the stay. Problems related to host families (e.g., integration issues, lifestyle, food, etc.) must be reported on-site and to us as soon as possible during the stay. In this case, a change of host family may be considered only after verifying the necessity. No claims in this regard will be accepted after the participant's return. Any complaints after the stay must be sent by registered mail with acknowledgment of receipt and will only be considered within a reasonable period of one month following the return. Registering for our programs implies full adherence to all the above general terms and conditions of reservation and sale. In the event of a complaint, the competent court is located in Geneva.

14. LEGAL FORM

AILS is a joint-stock company with a capital of CHF 100,000.-, registered with the Geneva Commercial Register.
